The ACLU seeks applicants for the full-time position of Administrative Assistant in the Affiliate Support and Nationwide Initiatives of the ACLU’s National office in New York, NY.

The Affiliate Support and Nationwide Initiatives Department (ASNI) builds state capacity and strengthens the connections between the ACLU and its network of 54 state affiliates and their 1,500 staff members across the country. Their work constitutes an unparalleled bulwark defending and advancing our civil liberties and civil rights. ASNI staff lead efforts to build program, build organizations, and drive resources to key battles across the country, positioning the nationwide organization for future challenges.

Reporting to the Director of ASNI Operations the Administrative Assistant will be responsible for providing administrative and clerical support to ASNI’s Operations team.


  • Process and track invoices, expenses and payments; process expense reimbursements and corporate credit card reports using SAP Concur and provide administrative support to Operational Efficiencies Manager on tracking operations and IT expenses charged to ACLU affiliates
  • Provide administrative and scheduling support to ASNI Director of Operations
  • Maintain a detailed database of ACLU national and affiliate staff and Board members and ensure the shared staff database is up-to date on the HUB, ACLU’s intranet platform
  • Maintain and update profiles for each ACLU state office including critical points of contact and basic organizational information
  • Handle all incoming and outgoing mail and packages; order and maintain department office supply inventory for ASNI Department
  • Schedule meetings and coordinate video/phone conference technology; provide support during staff meetings and ACLU events, including room setup, welcoming visitors, assisting with on-site registration, preparing and printing materials
  • Maintain electronic files of all department documents
  • Maintain a readily available list of resources ( whom to contact at National, shared resource logins, vendor lists, etc.)
  • With an open mind and collaborative spirit, provide support as needed on ASNI events
  • With supervisor approval, act as a resource for all staffers in the department
  • Act as liaison between ASNI, affiliate staff and national colleagues to support affiliate organizational effectiveness and increase understanding of ASNI’s role and the importance of affiliate work; communicate clearly and effectively both verbally and in writing
  • Contribute content as requested for sharing information on internal platforms; identify opportunities to recognize national and state staff successes
  • Engage in special projects and other duties as assigned
  • Center principles of equity, inclusion, and belonging in all work, embedding the values in program development, policy application, and organizational practices and processes
  • Commitment to the mission of the ACLU

  • Excellent communication and interpersonal skills, professional telephone manner and attention to detail
  • Must possess strong organizational skills and the ability to multitask and meet deadlines
  • Must be able to work both independently as well as within a team
  • Proficiency in Microsoft Office Suite Word, Excel, PowerPoint, Outlook and other Windows applications
  • At least two (2) years of related experience is preferred


Salary for this position is $64,272. Excellent benefits package provided.
